Rules, Guidelines and Truisms Before You Get Here

OK, who qualifies; raise your right hand if you:

  • Make things happen for meetings or events in the corporate, association, incentive, SMERF or tradeshow markets.
  • Are a third-party planner looking to bond with your end-user meeting client by traveling with them to Reno Tahoe.
  • Believe history has a way of repeating itself and have this overwhelming desire to provide us verifiable meeting histories.
  • Have a meeting with some meat on the bone; can bring an event to Reno Tahoe yielding a number between at least 100 and 200 room nights. Decision to approve is based on meeting dates, location desired and our mood at the time.
  • Have permission from your parents (or boss, or board, or doctor’s note) to consider Reno Tahoe for your next meeting.
  • Are in a hurry to book a meeting that can be held in the next 36 months. Of course we would love to talk to you about those large meetings with longer lead time.
  • Already haven’t been around the block with us having held a meeting in the Reno Tahoe area in the past two years.
  • Will play by the rules and complete an online Request for Proposal (RFP) specifically requesting participation in the Come See – Fly Free program.

No doubt your friends or family will be insanely jealous if they can’t join you. Sorry to say, even if they were here you won’t have much time for them. However we know you will want to share our great destination so:

  • We won’t be jealous if you want to bring someone for pre or post-site inspection. Know this is an official site inspection so we want you all to ourselves to conduct business during your visit. But sorry, expenses for your guest’s stay are solely your responsibility.

OK, this all sounds great! Now what do I do to take advantage of the Come See – Fly Free site tour promotion?

It’s time to talk. Your Come See – Fly Free requests and RFP’s will be reviewed with you by a representative from the Reno-Sparks Convention & Visitors Authority (RSCVA) or the North Lake Tahoe Visitors & Convention Bureau to:

  • Determine your meeting and destination needs
  • Confirm site inspection dates
  • Verify previous meeting history
  • Solidify the decision-making process, players, timeline, dates and space availability (as applicable). Once these criteria have been reviewed and satisfied, your RSCVA or North Lake Tahoe Visitors & Convention Bureau representative will confirm and schedule arrangements

Hey, I am not the only one who plans meeting at my company; can I bring my comrade in arms?

  • Typically only one planner is invited to attend per company. But what the heck, rules are meant to be broken. Exceptions may be made when there is verifiable information that additional planners are working at the same company but in different departments with separate programs and separate clients.

OK, you like me, I like you; now what’s in it for me?

  • This is no cheap date! As our invited Reno Tahoe guest, each qualified planner receives complimentary round-trip airfare from most U.S. cities, hotel accommodations, ground transportation, all meals, and a customized site inspection.
  • Better be ready for action! Site inspection includes a minimum of three hotel visits and tours of pertinent destination amenities and attractions.
